Included in the Exhibit Application
As a reminder your exhibit application costs include:
- 8’-high drapery back wall (in-line booth only)
- 3’-high drapery sidewall (in-line booths only)
- 4 exhibitor badges per 100 sq. ft
- Material handling (on-site - show docks to booth)
- Access to the Exhibitor Success Centre
All booth designs and activities must adhere to the CHFA Display Rules and Regulations, CHFA Exhibitor Show Policies and the Food Safety Guidelines. We also encourage all exhibitors to review the Five Steps to a Successful Exhibit.

While we are promoting all exhibitors in our show marketing campaign, you are also encouraged to make use of the marketing resources listed below. Don’t rely on location and booth design alone to capture your retailer audience. CHFA Marketing and Sponsorship Opportunities will increase your show presence, engage retailers, and drive your sales. Here are the forms and key dates for these opportunities.
Food Sampling, Cold Storage, Ice and Catering
If you are sampling food and/or beverages at the show, review the City of Montreal's Food Safety Guidelines. As noted in this information, any exhibitor who will be sampling food and/ or beverages at the show must submit a Food Sampling Request to Capital Traiteur Catering by March 27, 2019.
To support the food safety guidelines, we are providing limited onsite cold storage rental space on a first-come, first-served basis. Please order your cold storage at your earliest convenience and no later than March 27, 2019.
If you would like to offer full-size food portions, alcoholic beverages and/or ice, you may book catering through the facility’s catering department until April 9, 2019.
Furniture for Rent by Freeman
The official show decorator is Freeman and they offer a substantial order discount for exhibitors who rent furniture and accessories online by April 12. Electricity, Lead Retrieval and Additional Services
Additional exhibit requirements, such as electricity and internet, can be ordered quickly and easily by following the links below and working with our additional service providers.

Move-in and Move-out Schedule
Move-in and move-out times have been assigned to control traffic flow to the loading docks and inside exhibit hall. Your assigned timeslot is based on your exhibit location and all exhibitors must adhere to their assigned schedule. All shipping trucks may move in using the loading docks. If your shipment arrives prior to your scheduled move-in time, it will be turned away. Set up may commence after your move in is complete and continue as needed until the show opens.
The facility will not receive shipments prior to your designated move-in time. If you must ship in advance of your scheduled move-in time, make use of the TWI Group advance warehouse. TWI Group will receive your show shipment at their warehouse between April 8 and April 29, transport these shipments to the show, and we deliver them directly to your booth. Using a shipping company that is dedicated to trade show delivery is always your best option.

All exhibitors must provide proof of adequate liability insurance with a minimum limit of $3 million for the full duration of the show (includes move in and move out). This insurance is to protect you, the exhibitors, attending public and the venue. Review the Exhibitor Insurance Requirements and contact your current provider or order affordable insurance with BFL by April 1, your member benefit partner.
Please help us make sustainability a priority and consider the environment when planning your exhibit. Review the Tips on Reducing Your Footprint, the Environmental Best Practices and consider applying some of your organization’s sustainable practices to your exhibit design. Simple changes like using compostable sample cups, reducing your paper collateral and considering the global helium shortage can help make a world of difference.
